Title: Payroll Assistant

Salary Schedule Range: 33 ($21.00 to $22.89 per hour)

Purpose of Position: To perform accounting and clerical duties related to payroll preparation.

Reporting: Reports to the Payroll Manager

Employment Status: Full-time (FLSA Non-exempt)

Location: District Administration, Business Services

Essential Functions:

Perform basic accounting computations in support of various payroll functions.

Create journal entries as directed.

Maintain accurate records of individual earnings, deductions, absences, wage garnishments and related information.

Operate a computer to input, retrieve or verify a variety of data, including but not limited to, time reports and retirement statements.

Contact external agencies to obtain or verify employee information.

Calculate leave balances for employees.

Respond to questions from staff regarding pay, deductions, leave balances, and related payroll matters.

Assist other payroll department staff as necessary.

Maintain punctual and consistent attendance.

Other Functions:

Perform related duties as assigned.

Working Conditions & Physical Demands:

Busy office with strict monthly processing deadlines.

Inside work with no exposure to weather conditions.

Hearing and speaking to exchange information in person or on the telephone; seeing to read a variety of documents; dexterity of hands and fingers to operate office equipment; sitting for extended periods of time; reaching overhead to retrieve materials.

Knowledge, Skills and Abilities:

Knowledge of principles of payroll preparation, processing and internal controls in the public sector.

Knowledge of payroll systems such as Escape, MUNIS, QSS, PeopleSoft, etc., as well as proprietary or mass market software applications.

Knowledge of record keeping, filing, electronic document filing and retrieval.

Knowledge of wage garnishments.

Ability to apply and explain rules, regulations, policies and procedures.

Ability to operate a computer and a variety of contemporary office equipment.

Ability to develop and maintain productive working relationships with school site staff and District staff.

Ability to use proper telephone and e-mail etiquette.

Ability to use correct English usage, grammar, spelling, punctuation and business vocabulary.

Ability to process a high-volume of work with accuracy.

Ability to add, subtract, multiply and divide quickly and accurately.

Ability to understand and follow verbal and written directions.

Ability to meet schedules and timelines.

Ability to work collaboratively with others.

Education, Training and Experience:

Any combination equivalent to graduation from high school and one (1) year of experience in financial or statistical record-keeping, preferably in the public sector, and the equivalent of one (1) year college level study in Accounting.

Additional Requirements:

Successful passage of a written or performance assessment.

*This position is eligible for Language Services premium pay
