Intake Coordinator FT - Waltham, MA


Job Summary:

The Intake Coordinator will be the first point of contact (calls and digital inquiries) for people seeking care for mental health and eating disorders, working with prospective patients, families, and referring professionals. Reporting to the AVP of Engagement, the Intake Coordinator will establish a trusting relationship with the client, meeting them where they are and guiding them to the admissions process at Walden.


Hours:
Full Time (32 or 40 hours/week)


Job Responsibilities include:

  • Create warm and welcoming experience managing calls and digital inquiries from clients, families, professionals and facilities requesting eating disorder and/or psychiatric care information.
  • Understand the needs of the callers and the breadth of services in our system of care to provide direction
  • Understand various aspects of medical insurance, including Medicare
  • Perform initial phone screening of clients seeking eating disorder treatment
  • Register and schedule clients, data entry of demographics and insurance information
  • Verify client insurance is current and schedule laboratory tests
  • Screen and coordinate direct admissions through interactions with emergency departments, crisis teams and other providers/agencies
  • Provide direct admission paperwork and report to Charge Nurse/Nursing Supervisors
  • Be prepared to manage urgent call techniques
  • Collaborate with other departments to maintain client flow across continuum
  • Work with team to manage beds and movement within the system to maintain census
  • Provide an extraordinary customer experience
  • Input all information into Salesforce, our CRM software and Tier our EHR software.


Education:

  • Some college and healthcare and/or medical/mental health experience preferred


Experience:

  • Prior experience in a similar environment
  • Proficient in Word, Excel and Outlook
  • Experience with electronic medical record software preferred (Tier and/or KIPU)
  • Experience with CRM (Salesforce) preferred
  • Knowledge of HIPAA policies and procedures
  • Must be enthusiastic, flexible, reliable, friendly, hardworking, detail-oriented
  • Prior sales, admissions department, or patient care experience is preferred.
