Position Overview
Position Status: This Position is a fulltime and permanent position
Reporting Relationship: This Position reports to the VP of Finance
Expected hours of work: The standard operating hours for this position are based on 40 hours a week. This position does occasionally require additional overtime outside of the standard 40 hours depending on customer needs including some weekends.
Travel: This position does not require travel.
Expected Salary Range: This is a non-exempt salaried position (base salary plus overtime)

Role
Works with the Administration to effectively communicate in coming and out going information. Is in charge of Accounts Receivable, Accounts Payable departments and invoicing, along with other tasks allowing the company to run smoothly and efficiently.
Essential Duties and Responsibilities
Familiarity with office equipment such as fax machines and copiers
Accounts Receivable and Accounts Payable
Invoicing
Forecast weekly income reports
Maintain and inform Purchasing of Office Supply shortages and surpluses
Ability to type
Cordial on the telephone
Customer Service
Communicate effectively through departments
Work with Company’s accounting software (i.e., QuickBooks)
Proficient in Microsoft office
Work with Company’s ERP system (i.e., Jobboss)
Organizational skills
Vendor/Customer filing
Experience and/or education
High School Graduate or GED
Associate’s or Bachelor’s Degree is preferred but not required
Major or Minor in Accounting, Business Administration, Communication, or Finance is preferred

Requirements:
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
- Hands on experience with office machines (e.g. copiers, fax machines, printers)
- 2-3 years of experience as an office clerk, administrative assistant, secretary or similar role
- Excellent time management skills and ability to prioritize work
- Organization and the ability to multitask to complete a wide variety of tasks
- Flexibility to help them adjust to new tasks if company or office needs change
- Strong interpersonal skills to interact positively with all employees
- Leadership ability to manage challenges and oversee employees
- Attention to detail to ensure tasks are completed thoroughly and correctly
- Working knowledge of mail processes, including how to use postage machines
- Familiarity with Microsoft Office Suite
- Bookkeeping skills
- Reliability and discretion
Job Type: Full-time
Pay: $14.00 - $18.00 per hour
